HR Project Coordinator

Job Summary: Reporting to the HR Manager the HR Project Coordinator is responsible for providing Human Resources services and supporting current and upcoming HR transformation initiatives at Inlailawatash, including HRIS implementation, performance management system realignment, and other strategic HR projects. This role plays a vital part in project planning, process redesign, stakeholder coordination, change management, documentation, testing, training, stabilization, and implementation oversight while ensuring compliance with BC employment legislation and internal governance standards. The role acts as a bridge between planning, execution, and service delivery. 

Key Responsibilities:

HR Project Coordination

  • Coordinate the planning and implementation of HR transformation projects, including HRIS implementation and related organizational initiatives.
  • Maintain project timelines, task tracking, milestones, and status reporting to support timely project delivery.
  • Coordinate communication and collaboration with internal stakeholders and external partners, including HRIS vendors and consultants.
  • Support the integration of new HR processes and organizational changes into HRIS configuration and workflows.
  • Monitor project progress and support evaluation of adoption and effectiveness to identify opportunities for continuous improvement.

HRIS Implementation Support

  • Support system configuration planning, process flow documentation, and system testing activities.
  • Coordinate HR data audit, cleansing, migration, and validation activities.
  • Assist with User Acceptance Testing (UAT) preparation, coordination, and documentation.
  • Track and document system issues and coordinate with vendors or internal stakeholders to support troubleshooting and resolution.
  • Support HRIS go-live preparation and implementation activities.
  • Assist in developing training materials and coordinating training sessions for managers and employees.
  • Support stabilization activities following system launch and assist in documenting HRIS procedures and governance practices.

HR Policy and Process Modernization

  • Assist in reviewing and updating HR policies and procedures to align with organizational changes and best practices.
  • Support HR policy compliance with relevant BC legislation, including the BC Employment Standards Act and other applicable regulations.
  • Assist in standardizing HR processes across programs and departments.
  • Document Standard Operating Procedures (SOPs), workflow guides, and HR process documentation.
  • Support continuous improvement of HR processes to enhance clarity, consistency, and administrative efficiency.

Change Management Support

  • Assist in developing and coordinating communication plans related to HR transformation initiatives.
  • Coordinate training sessions, information sessions, and feedback opportunities for managers and employees.
  • Gather feedback and identify potential change management challenges during project implementation.
  • Prepare project updates and progress reports for HR Manager and relevant stakeholders.

Risk Monitoring and Governance Support

  • Assist in identifying operational or compliance risks related to HR transformation initiatives.
  • Support documentation of mitigation strategies and tracking of risk items.
  • Maintain project documentation including milestone tracking, issue logs, and resource coordination.
  • Provide regular project status updates to the HR Manager and support proactive issue resolution.
  • Ensure project activities and documentation align with organizational policies and legal compliance requirements.

HR Operations Support

  • Provide support for day-to-day HR operations and administrative activities, including recruitment coordination, onboarding, offboarding, employee engagement initiatives, and payroll coordination.
  • Maintain accurate employee data and documentation in HRIS and personnel files.
  • Support HR communications and internal documentation updates.
  • Assist with HR reporting and data tracking as needed to support organizational decision-making.

Performs other related duties as assigned, consistent with the scope and level of the position.

Qualifications and Skills:

  • 3 to 5 years progressive experience in Human Resources, HR operations, or project coordination.
  • Post-secondary education in Human Resources, Organizational Development, Business Administration, or a related discipline.
  • CPHR designation or candidate preferred.
  • Working knowledge of BC and Canadian employment legislation and HR best practices.
  • Demonstrated experience in HRIS implementation or HR systems administration (experience with UKG preferred).
  • Experience supporting organizational change initiatives, such as HR process improvements, policy updates, or structural changes. 
  • Strong project coordination, organizational, and communication skills, with the ability to manage multiple priorities and deadlines.
  • Experience tracking project milestones and maintaining project documentation. 
  • Experience documenting workflows, procedures, or process improvements, and supporting training or information sessions for staff or managers.
  • High level of confidentiality, discretion, and cultural sensitivity when handling employee information and organizational matters.
  • Proficiency in Microsoft Office and other basic software for administrative tasks. 
  • Strong analytical and problem-solving skills, with attention to detail.
  • Ability to work independently while collaborating effectively with organization-wide departments.
  • Experience working with Indigenous communities or organizations is considered an asset.

Travel: Although this position is primarily office based, there may be a portion of time spent traveling

Work Hours: 40 hours per week, overtime as required

Work Environment: Hybrid work arrangement. The role is primarily office-based during the probationary period. Following successful probation, employees may be eligible to work up to two days remotely per week, with three days per week in office.

Expected Start Date: As soon as possible, willing to wait for the right candidate

Compensation: $33 - $37/hour CAD; Plus, Extended Health Benefits & Pension Plan
